How to Transfer Email from cPanel to cPanel in 2024

It may seem challenging to transfer email from one cPanel account to another; however, the process is not as complex as one might expect when divided into further steps. It doesn’t matter if you are planning to switch to a different hosting provider or if you wish to reorganize your email accounts, this guide will help you migrate in 2024.

Step 1: Backup Mails from the Source cPanel Account

However, it is essential to make a backup copy of all mails in the source account before performing the transfer.

1. Log in to cPanel: Navigate to the source account and log in using the proper credentials.

2. Go to Email Accounts: Go to ‘Mail Accounts’ located under the ‘Email’ tab.

3. Access Webmail: To back up a specific email account, click on ‘Check Email’ located beside the account in question. This will take you to the webmail interface.

4. Select Webmail Client: Select webmail client (Horde, Roundcube or SquirrelMail). Horde is recommended because it is easy to export mail from it.

Export Mails:

1. In Horde, go to ‘Mail’ in the top menu.

2. In the folder list, click the folder that you want to export, for instance, the Inbox folder.

3. Choose the ‘Folder Actions’ drop-down and click on ‘Export’.

4. Export the messages and save the exported file in. mbox format on your local computer.

5. Do the same to every email folder you want to transfer before proceeding to the next step.

Step 2: Prepare the Destination cPanel Account

1. After that, configure the mail accounts on the destination cPanel account to collect the transferred mails.

2. Log in to the Destination cPanel: Log into the destination account.

3. Create Email Accounts: Go to ‘Email Accounts’ located under the ‘Email’ tab.

4. Ensure you have the same working email accounts on the destination as you have on the source (for instance if you have email@example. com on the source, you must have a working email@example. com on the destination).

5. Make sure the passwords are set correctly.

Step 3: Moving the Data to the Mail App

Once you have your mail accounts created in the destination cPanel, you can move forward with copying the mail data.

1. Webmail transfer: This involves transferring messages manually using the webmail interface such as Outlook web access.

2. Log in to Webmail on the Destination: Log in to the destination mail account using the webmail options.

Import Mails:

1. In Horde, click ‘Mail’ and then choose the folder that you wish to import mails into (example: ‘Inbox’).

2. Next click on ‘Folder Actions’ and select ‘Import’ on the drop-down list.

3. Upload the mbox file that was exported from the source cPanel

4. Do the same for all other mail subfolders that contain highlighted documents

Step 4: Confirm the Credits Transfer

After the migration, one of the most important steps is to check whether all emails have been transferred successfully.

1. Check Email Accounts: Access each email on the destination cPanel under the webmail feature and verify if all the emails and the folders are intact.

2. Test Functionality: There should be a verification that the accounts are working properly on the new server through sending of test e-mails.

Step 5: Changing of DNS Records

To make sure your mail service is going to reach the new server properly, one should change DNS records.

1. Access DNS Management: Start by accessing your domain registrar or DNS management service panel.

2. Update MX Records: Update the MX record to suit the destination server’s mail server.

3. Propagate Changes: DNS changes may take up to 48 hours to spread across different regions and should be factored in.

Conclusion

Moving emails from one cPanel to another in 2024 entails the processes of backing up the emails from the source cPanel, preparing the target location, transferring the mail data by either web mail or IMAP Sync, checking the success of the transfer, and updating the MX records. Using the steps outlined in this guide, any organization will be able to avoid disruptions in mail service and achieve a full transfer of mails. It is advisable to back up your data before starting the transfer and check every step to prevent problems with the process.
