How to send mass emails using Gmail in Poland

Gmail has long been a trusted server for personal communication, but with Google now offering more in-depth and versatile apps like Google Drive, Classroom, and Docs, people are looking for more ways to connect with more people than ever before. Google has made it simple for people to take their programs one step further and use its platform for business use with these new ways to share, create, and work.

With so many businesses now working remotely, reaching clients and target markets virtually is quickly becoming a top priority. Some businesses may find themselves scrambling to establish an online presence, unsure of how they will communicate messages and updates about their company to the public.

Mass emailing is an excellent way to reach a large targeted audience or demographic while generating more leads than smaller marketing efforts. Previously, this method was chastised for being labelled as spam or junk mail because the emails were unsolicited.

These forms of communication were reviewed in 2014 (Government of Canada, 2020), and new rules and regulations were put in place. These types of outreach are now useful in ensuring that registered members, clients, and other important contacts subscribed to mailing lists receive the information they have requested.

 

Sending out Mass Emails

To send a mass email directly from your Gmail account, simply create a new email and enter your contact information. It is critical to respect your recipients' privacy; select the BCC option when entering your contacts; this will hide all email addresses from the recipients.

You can add recipients from your contacts list by clicking the 'Bcc' button, then selecting individual emails or all to insert and clicking "Select." The final step is to enter your subject, message, or content and click send.

*TIP: Before entering your recipient addresses, create your message content. This way, you won't have to worry about sending the email before you've finished and reviewed your message and content.

 

Limitations you may encounter when Sending Mass Emails

It is critical to understand that sending a mass email through Gmail has some limitations. There is a limit to the number of email recipients a user can have in a single email, as well as the number of emails a user can send in 24 hours. It will not work if you send them at 11:50 p.m. and 12:05 a.m.; the system requires a full 24 hours.

Setting up your recipients as a Google Group is one way to avoid receiving errors when sending a mass email through Gmail. This allows you to create a group and completely customize it, including sending an email to all group members using a single email address - the group address. You can also manage the roles of contacts in your group, granting others the ability to send emails and update group information.

Setup for your group may be tedious, as you will have to start by manually adding your contacts in groups of ten, but once set up, it is well worth it for the convenience of future mailers. Google Groups has a free option for all users, but there is also a paid option for business users called Google Groups for Business, which is available through G Suite and requires a G Suite license to access the features and benefits of Groups for Business.

 

Increasing your Mass Mailing Output

Another option for increasing your Gmail mass mailing output is to use a Google Chrome extension. The GMass extension adds on provides a simple solution for sending mass emails from your Gmail account with multiple customization options, including the ability to mail merge with Google Sheets, build custom email lists based on data in your Gmail messages, customize campaigns as replies, and many other features useful for business use.

GMass not only allows you to send personalized mass emails, but it can also send individual messages to each recipient using the 'To' field. You can also track your open and click rates and receive behaviour-based campaign level reports with GMass.

You can get the extension from the Google Chrome web store and use it by clicking the GMass Send button. It is important to note that GMass still adheres to Gmail's total message limit of 500 recipients per 24 hours.

 

Using a Mail Merge with Gmail

Setting up a mail merge is another great time-saving option for sending your email to multiple recipients and personalizing it for each one. A mail merge uses data from an imported spreadsheet to fill in specific fields of an email, such as names and addresses.

To use a mail merge with your Gmail account, you'll need the Mail Merge for Gmail extension add-on, which can be found in the G Suite Marketplace, a repository of web applications developed by Google for business users.

Mail Merge for Gmail, aimed at small business owners, includes a plethora of useful features such as one-click importing of Google Contacts for sending personalized emails, the ability to send a test email to verify your Mail Merge campaign settings before sending the email blast to all recipients, and a plethora of other options to customize your email marketing campaign.

Another useful feature is the ability to track your email's open and click rates using Google Analytics, giving you a more accurate picture of who is receiving your messages. Mail Merge has a daily limit of 50 email recipients; however, upgrading to the Premium Edition increases the limit to 400 recipients. Mail Merge Premium for Work allows you to send up to 1500 emails per day, but this is a paid feature available through Google Apps, and you must have a Mail Merge Licence to use the 1500 limit.
